A design can be perfectly sharp when it leaves the artist and blurry by the time it reaches the printer.
Usually, nobody intentionally ruined it.
The file simply passed through too many places.
It was emailed, downloaded, texted to somebody, uploaded to a chat, screenshotted, cropped, and finally named logo-new-final2.jpg.
Learning how to send high-resolution artwork to a printer is mostly about preventing that chain from starting.
Send the Original File
Start as close to the source as possible.
If a designer created your logo in Adobe Illustrator, ask for the original vector file or a suitable vector export.
If a photographer supplied high-resolution photographs, use those files.
Do not download the image from your company’s Facebook page and assume it is the same thing.
Avoid using:
- Screenshots
- Social-media downloads
- Email preview images
- Website thumbnails
- Images copied from Google
- Photos of printed artwork
Every extra conversion creates an opportunity to lose information.
Know the Difference Between Vector and Raster Artwork
Raster images are made from pixels.
Common raster formats include:
- JPG
- PNG
- TIFF
They can print very well when enough resolution is available.
But enlarging them too far eventually reveals the pixels.
Vector graphics are built from mathematical shapes rather than a fixed pixel grid.
Common vector formats include:
- SVG
- AI
- EPS
- Some PDF files
Logos, icons, simple illustrations, and text-heavy designs are often best kept as vectors.
That allows a printer to resize the artwork without creating pixelated edges.
Check Resolution at the Final Print Size
The phrase at final size matters.
Suppose you have an image that is perfectly adequate at three inches wide.
If you enlarge the same file to 24 inches, the effective resolution drops dramatically.
Do not judge resolution only from the number shown in a file-information window.
Ask:
How many pixels do I have at the size this will actually print?
Around 300 pixels per inch is a common target for detailed print artwork, although specific production methods can have different requirements.
The printer handling the job should give you the final specification.
Do Not Upscale Bad Artwork and Call It Fixed
Changing a 72 DPI file to say “300 DPI” in software does not magically create missing image detail.
The number changed.
The original information did not.
Modern enhancement tools can sometimes improve a marginal image, but obtaining the original file is almost always preferable.
If there is a good version somewhere, find it before trying to rebuild a bad one.
Share Large Files With Links
Large artwork can quickly become awkward as an email attachment.
That is especially true when a project contains:
- Several photographs
- Front and back artwork
- Large PDFs
- Multiple product variations
- Mockups
- Vector files

Upload the correct files once.
Then send the printer a clear link to the approved versions.

Name Files Like Another Human Has to Use Them
Good filename:
acme_logo_white_v03_APPROVED.svg
Less useful:
logo final new really final 2.svg
A basic naming system might contain:
Project_Product_Version_Status
For example:
summerpromo_3inchsticker_v04_APPROVED.pdf
If there are front and back files:
eventcard_front_v02_APPROVED.pdf
eventcard_back_v02_APPROVED.pdf
This is not exciting.
It is still better than paying to reprint something because production opened the wrong file.
Include the Right Information With the Artwork
When sending artwork, tell the printer what the file is supposed to become.
Include:
- Finished dimensions
- Quantity
- Material or product
- Front or back designation
- Any special color requirements
- Whether transparent areas are intentional
- Which file is approved
A printer should not have to infer whether a three-inch logo is meant to become a three-inch sticker or a three-foot window decal.
Preserve Transparent Backgrounds When Needed
PNG and some vector formats can preserve transparency.
JPG cannot.
If you need a logo without a white rectangle around it, make sure the file actually contains transparency rather than simply displaying on a white background.
This matters for decals, product graphics, apparel, signs, and many sticker designs.

Separate the Print File From the Mockup
A mockup shows what the product is supposed to look like.
It is not always the file you want printed.
Send both when useful:
REFERENCE MOCKUP
Shows placement and appearance.
PRINT ARTWORK
Contains the actual production-quality design.
Label them clearly.
Otherwise someone may print the flattened screenshot of the mockup instead of the artwork that created it.
Check the Proof at Actual Size
The final handoff is the proof.
Do not approve it by glancing at the thumbnail on your phone.
Zoom in.
Then also view the design near its real printed size.
Check:
- Text
- Image sharpness
- Crop
- Bleed
- Transparency
- Borders
- Spelling
- Dimensions
- Correct version
If the product will be physically small, print a rough paper copy.
That catches tiny text surprisingly well.
Protect the Quality You Already Created
Knowing how to send high-resolution artwork to a printer is not mainly about complicated prepress knowledge.
Send the original file.
Keep vector artwork as vector artwork.
Use appropriately sized raster images.
Name versions clearly.
Share large files through a reliable link.
Then check the proof.
Most print-quality problems are easier to prevent before the file reaches production than after the finished order reaches your front door.
